PTO Meeting minutes
May 8, 2018

6:30-8:00 pm

Library @ Woodbrook Elem.


In attendance: Beth Daane, Dana Griffin, Jen Smith, Ellen Powell, Kim McQuown, Amy Barbour, Mary McIntire, Zarina Burdge, Jamee Dion, Michael Thornton, Kate Scales, Maureen Boisvert, Kerri Kirkeidi, and Stephanie Heath.


  • Treasurer’s Report- Maureen Boisvert
    • Deposits: Feed the Bear, Box Tops, Kroger, Fun Fair Tickets, Fun Fair Raffle Baskets, T-Shirt sales, and Yearbook Ads
    • Payments/Checks: Field Day bounce house, Field Day water slide, and Maker Night reimbursements
    • Pending: Panera, Alex Zan assembly, LuLaRoe (Thank you Zarina!), Bloop, Multicultural night, Corporation Commission, and Teacher Appreciation
  • Fundraising Report/Update- Beth Daane
    • Moving mostly to an online silent auction for Fun Fair
  • Communications Report- Jen Smith
    •  Email blast is still disabled
      • Consider doing a free online newsletter creator for next year
    • Website- questions or suggestions for posts, let Jen know
    • Newsletter- possibly send this out 4 times per year rather than monthly
  • New Family Welcoming Report- Jen Smith
    • The redistricted families have been invited to the Fun Fair, if they bring their invitation they get a specific amount of tickets for free
    • They have been invited to the morning meeting on June 1- get T-shirts
    • Consider setting up playdates for redistricted students, this depends on construction schedules
  • Parent Council Report- Kim McQuown
    • How to get more people involved?
      • Changed the word “chair” to “coordinator
      • Host special events for Kindergarten parents
    • Themes for additional fun events
      • Example: goofy run
      • Tie a theme in with Movie Nights
    • SNL Financial
      • Apply for a grant to help our school, we need a WES parent who works there to apply
    • High School 2022
      • Pilot program for next year will educate 20-25 students
    • School Safety Advisory Council
  • Upcoming Events
    • Teacher Appreciation Week, May 7-11
      • Students wrote cards in the cafeteria
      • Decorated the teacher’s lounge and stocked the fridge with drinks and snacks
      • Lottery tickets in the mailboxes
      • Lunch at Brick’s Oven
      • Gift card drawing
    • Fun Fair, May 12 from 4-7 pm
      • Lack of volunteers: a few events needed to be combined, tweaked or scratched
        • More help is needed for the cupcake walk
        • No volunteers for Bingo yet
        • Could use few more volunteers at the silent auction and concessions
        • School board is going to be emailed to see if they would be willing to volunteer
      • Next year- possibly give 10 tickets per student that attends for free
      • Concessions: hot dogs/chicken nuggets and baked goods plus pizza for volunteers
      • Raffles
        • There are 6 theme baskets
      • Dunking booth- difficulty finding volunteers, 4th and 5th graders have been asked to volunteer (via permission slips)
    • Multicultural Night, May 24 from 5-7 pm
    • Field Day, May 25- times vary by grade
      • PTO donates snow cones
    • Teacher Luncheon, June 8- PTO will purchase the meal (Wegmans), volunteers are needed to supply desserts

    • Vice President, Communications: Malva Managan and Zarina Burdge
    • Treasurer: Maureen Boisvert
